Adding Late Fees

There are two ways to add late fees

The first is the long way

  1. Go to Customers in the top bar then click “Customer Center” (or just click on the Customers icon)
  2. You will see an alphabetical list of all the Customers (property addresses) and Jobs (tenants’ names)
  3. Right Click on the Tenant a long list of things you can do will pop up.
  4. Select “Create Invoice” and the Invoice screen will pop up. Fill it in as follows:
    1. Customer:Job: Make sure you have the correct name of the tenant selected
    2. Class: Choose the correct property in the class list (it is very important not to forget the class)
    3. Account: It should already be Accounts Recievable
    4. Date: Always put in the 6th of the month because rent is due on the 5th and if it is not recieved by then it is late even if it is a weekend
    5. Item: Select “Late fee” The $35 should pop up automatically. If not, Type it in.
    6. Type “Late Fee Invoice” in the bottom memo
    7. Click Save and new
    8. Check the transactions on the right side to see if the late fee pops up and it has the correct month day and year.

The second is the easy way

  1. Look in the transaction list on the right side of the screen. (make sure all transactions are displayed)
  2. Scroll down until you see a previous late fee. The easy way is too look for a $35.00 invoice
  3. Double click on the previous late fee and the invoice screen will open up
  4. Go to the top bar of Quickbooks until you see Edit then click on it.
  5. A pop up will open up saying a new invoice has been created, Click OK
  6. After the new invoice is open all you have to do is change the date to the 6th of this month and save and close. It is that easy!
  7. Check the transactions on the right side to see if the late fee pops up and it has the correct month day and year.
